Family RV Caravans LLC is a tour operator specializing in guided RV tours for families. Please read the following terms and conditions carefully, as these form the basis of your contract with us (hereinafter The Agreement). This Agreement affects your legal rights and by booking a tour with us, you are accepting and consenting to The Agreement. If you do not agree with our terms and conditions you should not proceed with making a reservation. Registering for a tour and paying the deposit(s), the registrant(s) agree(s) constitute understanding and agreement with company policies and conditions, as described on the Terms & Conditions webpage on the Family RV Caravans LLC website. If you do not agree to the Terms and Conditions, you must not make any booking with us. We reserve the right to make changes to the terms and conditions from time to time. Any such changes shall become effective immediately. The terms and conditions in effect at the time of your travel will be applicable to your booking. You agree that it is your responsibility to check our website from time to time and be aware of any such changes.
The terms “we”, “us”, “our”, and “FRVC” refer to Family RV Caravans LLC, the term “you” “I” “participant” “guest” or “customer” refers to the customer booking a reservation through us. Reference to “Suppliers” and “Service Providers” means all third parties who provide services to you.
You represent and warrant that (a) you are at least 21 years of age and can create legal obligations in connection with your use, (b) you are legally authorized to act on behalf of those you represent and accept these terms and conditions on their behalf, and (c) the information supplied by you is true and correct. You understand that you are financially responsible for our services and those for whom you make a registration for. You also warrant that all information supplied by you or on your behalf, or by members of your household is true, current, complete, and accurate.
Planning and operating a RV tour requires extensive long-term planning and costs are incurred long before your departure date. Because of this, a tour deposit of 15% plus a $100 non-refundable processing fee is required for all registrations. The final balance is due 90 days prior to departure. Bookings made less than 90 days before departure must be paid for in full at the time of booking. If we do not receive any payment due in full and on time, we reserve the right to treat your booking as cancelled by you in which case the cancellation charges set out below will become payable. We reserve the right to refuse a booking without giving any reason and shall in that event return any deposit received. Reservations are non-transferable unless the transfer is pre-approved in writing (email acceptable) by FRVC.
While we do accept major credit cards including Visa, Mastercard, and Discover, participants must provide to us a verbal authorization if booking by phone or click authorization for online bookings. Your authorization is a binding agreement for us to charge your card and as such you waive any right to chargeback in the case of cancellation for any cause (excepting fraud), including a Force Majeure event, as defined herein, and agree to refund policies and procedures as outlined in these Terms and Conditions. In the event a Participant attempts to chargeback, reverse, or recollect a trip payment already made without the authorization of FRVC, we reserve the right to collect all additional costs, fees and expenses associated with such chargeback, reversal or recollection, including, without limitation, attorney fees.
As described above, FRVC is required to pay suppliers and service providers well in advance of your tour date. All suppliers and service providers have their own cancellation policies, which apply to your booking. Should you have the need to cancel, please call 231-445-5587. Additionally, a written notice is required by email to firstname.lastname@example.org. Upon receipt, FRVC will follow industry procedures for all applicable refunds. If you are entitled to a refund, refunds will be provided as outlined in the refund policy, minus any fees that have been paid to suppliers in preparation for your tour. We are not responsible for a supplier’s failure to pay a refund or for supplier bankruptcy or insolvency. Any applicable refunds are paid 30 days after receiving written notice of your cancellation. If you need to switch your tour up to 100 days prior to departure, your tour payments will be transferred minus a $50 switch fee. Any and all refunds will be at FRVC’s sole discretion, but will be subject to the standard refund policy below.

Cancellation by FRVC
FRVC reserves the right to cancel any tour at its sole discretion. In the unlikely event a tour is cancelled by FRVC and we are unable to reschedule, all funds collected from any participant will be refunded in full except in the case of force majeure. Refunds will be made within 30 days of the cancellation and are payable to the original purchaser and are not transferable.
FRVC shall not be responsible for, and shall make no refund for, events beyond its control, such as, without limitation, acts of God, strikes, acts of war, terrorism or civil disturbance, government restrictions, changes of schedules or operational decisions of air carriers, terrorist activity or the threat thereof, industrial action, natural or nuclear activity, epidemic, pandemic, illness, physical injury, quarantine, medical or customs or immigration regulation, delay, or cancellation, adverse weather conditions, fire, or for acts or omission of Third Parties or other parties not under the control of FRVC and all similar events outside of our control.
Medical Emergency or Mechanical Breakdown
FRVC cannot be responsible for medical emergencies or mechanical breakdowns, so no refunds will be given on or after the scheduled first day of the tour. Should you have a medical emergency or an RV breakdown during your tour which prevents you from continuing, you may receive a credit toward a future tour, less a $100 per individual fee and any non-refundable expenses incurred by FRVC.
Should FRVC, in its sole discretion, choose to offer travel credits for any reason, travel credits must be applied towards a new reservation within 1 year of date issued and used within 2 years.
Travel to and from Tour
Any travel, including via airplane, train, bus or automobile to and from the tour starting point is not included in the price of the Tour and cancellation charges for travel will be governed by the terms and conditions of the travel provider. If participants purchase or pay for travel and the trip is then cancelled either by the guest or by FRVC, FRVC will not be responsible for the expense of the ticket or tickets.
Tour Changes / Overbooking
FRVC, nor any operator or supplier shall be held liable for any act, error, omission, or event, if it becomes necessary or advisable for the comfort, safety, or well-being of any tour participant or for any reason whatsoever, to alter the itinerary or arrangements. Due to this, FRVC reserves the right to change tour dates, substitute accommodations and transportation, change travel routes and or itineraries when we deem it necessary. Such alterations may be made without penalty to FRVC, its employees, agents or contractors. FRVC reserves the right to change a portion of any tour should conditions warrant and/or also to decline to retain any tour participant as a member of the tour. The sole responsibility of any airline, bus, boat, train or vessel used in the tour is limited to that set out in the passenger contract in use by that carrier. The right is reserved to substitute sightseeing tours or meals, if conditions warrant, and FRVC reserves the right to overbook any caravan to compensate for last minute cancellations.
We strongly recommend that customers purchase comprehensive insurance that includes coverage for Trip Cancellation or Interruption, Cancel for any Reason, Medical Expense, Emergency Evacuation/Repatriation, and Baggage. Such insurance at a minimum should cover your losses sustained as a result of cancellation, medical issues, and repatriation in the event of accident or illness. Certain countries have a requirement for foreign visitors to have valid medical insurance on entry. FRVC cannot be held responsible for denied entry if a guest is unable to provide details to authorities of insurance or denial of entry for any reason.
FRVC is not qualified to answer technical questions about the benefits, exclusions, and conditions of travel insurance plans. FRVC cannot evaluate the adequacy of the prospective insured’s existing insurance coverage. If you have any questions about your travel protection, call your insurer or insurance agent or broker.
Declining travel insurance could result in the loss of your travel cost and/or require more money to correct the situation. You also acknowledge that without insurance, there may be no way to recoup any losses, costs or expenses incurred. If you choose to travel without adequate insurance coverage, we will not be liable for any of your losses however they arise, for which insurance coverage would otherwise have been available.
You must notify us in writing, at or prior to booking, of any medical, physical or other condition, which may require professional attention during a vacation or may require the use of special equipment. Participants with disabilities are welcome and must always be accompanied by a companion capable of providing all required and needed assistance and must not require special assistance from FRVC or its suppliers. Participants with disabilities must notify FRVC at the time of booking of their status and of the identity of their non-discounted, paid travel companion who will be responsible for providing all necessary assistance. FRVC will make all reasonable efforts to accommodate requests but cannot be responsible if ADA accommodations are not available. Any accommodations provided will be at the sole expense of the guest requiring the accommodation. Please note that accommodations outside of the USA may not be in compliance with the Americans with Disabilities Act and may not have wheelchair accessibility.
FRVC Employees, Contractors, Guides and Suppliers are, unfortunately, unable to offer additional assistance to customers with limited mobility and all such assistance will need to be provided by whoever the passenger is traveling with. FRVC reserves the right to request health information prior to travel and to exclude any participants it deems unfit for travel at its sole discretion.
Activities on Tour
Certain itineraries and trips are not scooter or wheelchair accessible and some tours may include travel in altitudes of up to 10,000 feet. FRVC reserves the right to decline any tour participant who, in our opinion, may affect the health, safety or enjoyment of other participants. It is the responsibility of the guest(s), not FRVC, to see to any and all of your special needs required during the duration of the tour or rally. Children under 18 must be accompanied by an adult at all times, unless attending an event specifically identified as one where child care will be provided.
By offering reservations for travel in particular destinations, FRVC does not represent or warrant that travel to such areas is advisable or without risk. It is your responsibility to be aware of travel warnings and advisories as announced by the U.S. State Department and Centers for Disease Control (CDC), as can be found on their website at www.travel.state.gov/ and https://wwwnc.cdc.gov/travel/notices. Should you choose to travel to an area that has been issued a travel warning or advisory, FRVC will not be liable for damages or losses that result from travel to such destinations. In addition, you should consult with government websites to ensure that you are in compliance with all requirements for admittance into any country as well as understanding local laws that govern travel within a country.
For any tours outside of your home country, you and any minors traveling with you must be in possession of a machine-readable passport valid for 6 months after their trip return date along with applicable visas. Some countries require that your passport have two to four blank visa/stamp pages. It is your sole responsibility to secure and/or pay for any and all visas to and from the Rally Point, reciprocity fees, affidavits, immunizations, etc. that are required to be permitted entry into each destination. In some countries you may be subject to entry (reciprocity) fees and/or departure taxes/ exit fees which will be collected at the airports upon entry/departure by local government authorities. Please note that entry to any country may be refused even if the required information and travel documents are complete.
Health: Recommended inoculations for travel may change and you should consult your doctor for current recommendations before you depart. It is your responsibility to ensure that you meet all health entry requirements, obtain the recommended inoculations, take all recommended medication, and follow all medical advice in relation to your trip. Inoculation requirements can be found on the Center for Disease Control website at https://www.cdc.gov/.
Family RV Caravans and our employees, shareholders, representatives, and agents (hereinafter “FRVC”) is a tour operator and uses third-party suppliers to arrange for accommodations, sightseeing tours, transportation and food service. FRVC is an independent contractor and is not an employee, agent, or representative of any of these suppliers. FRVC does not own, manage, operate, supervise, or control any sightseeing locations, hotel, RV park, restaurants, caterer, or any other entity that supplies services related to your tour. FRVC is not affiliated with any other tour operator. All suppliers are independent companies, contractors or individuals and are not agents or employees or representatives of FRVC. All tickets, receipts, coupons, and vouchers are issued subject to the terms and conditions specified by each supplier, and by accepting the coupons, vouchers, and tickets, or utilizing the services, all customers agree that neither FRVC, nor its employees, agents, or representatives are or may be liable for any loss, injury, death, damage, or delay incurred by any participant or their belongings, or otherwise, in connection with any service supplied or not supplied resulting directly or indirectly from any occurrence beyond the control of FRVC. Therefore, FRVC, hold themselves free of responsibility for any damage(s) from any cause(s) whatsoever. FRVC assumes no responsibility or liability for any delay, change in schedule, loss, injury or damage or loss of any participant that may result from any act or omission on the part of others; and FRVC shall be relieved of any obligations under these terms and conditions in the event of any strike, labor dispute, act of God, or of government, fire, war, whether declared or not, terrorism, insurrection, riot, theft, pilferage, epidemic, pandemic, illness, physical injury, quarantine, medical or customs or immigration regulation, delay, or cancellation. FRVC accepts no responsibility for lost or stolen items. FRVC reserves the right to refuse any participant or potential participant at its sole discretion.
Additional risks and dangers may arise including, but not limited to, hazards of travel by automobile, RV, aircraft and other means of conveyance, animal interactions, forces of nature, political unrest, other unrest, risks associated with water, food, plants, insects and differing animal regulation, disease, and acts of national and local governments and unrest and acts of others against governments. These risks are not an exhaustive list but are examples of many kinds of risks. You are voluntarily participating in these activities with the knowledge that there are significant dangers involved, and you hereby agree to accept any and all risks. As lawful consideration for the agreement with FRVC to participate in such trips and activities you agree you will not make a claim against FRVC, its related companies or its personnel or sue for bodily injury, emotional trauma, death, property loss or damage or other loss, cost or expense, however caused, as a result of or related to your contracting for, traveling to or from, or in any and every other way participating in the trip. You release Family RV Caravans, its related companies and its personnel from any and all claims, known or unknown, arising from contracting for, traveling to or from, and in any and every way participating in a trip. This release of liability and assumption of risk agreement is entered into on behalf of you and all members of your family and party, also including minors. This agreement also binds your heirs, legal representatives and assigns.
Each participant is expected to act responsibly and adhere to all behavior guidelines established by FRVC, service providers of FRVC, local and federal governments and our event tour guides. We and our event tour guides reserve the right to remove you from any trip if you endanger yourself or others or disrupt the general well-being of the trip itself. In any such case, there will be no refund.
When you book with us, you accept responsibility for any damage or loss caused by you. Full payment for any such damage or loss (reasonably estimated if not precisely known) must be paid directly at the time to the accommodation owner or manager or other supplier. You must indemnify us for the full amount of any claim (also including legal costs) made against us. FRVC is not responsible for any costs incurred concerning a guest removed from a tour. Guests agree not to hold FRVC or any of its related entities liable for any actions taken under these terms and conditions.
Personal effects are at all times the sole responsibility of the participant.
It is understood and accepted that the function of FRVC is to organize and facilitate the tour. It is agreed that whoever is going on said tour is doing so entirely upon their own initiative, risk and responsibility (not acting under anyone else’s direction and/or control during said tour), and will have complete and unrestricted control over their vehicles. It is the driver of the RV or other vehicle who is ultimately responsible for avoiding obstacles and/or dangerous situations and is solely responsible for any damages to their property or the property of others.
I specifically acknowledge that I will be required to sign a Waiver and Release Agreement provided to me by FRVC, prior to participating in my tour. Failure to sign waiver will result in cancellation of my booking subject to the cancellation policy.
I consent to the use of my photo and/or name for promotional purposes by FRVC, and waive my rights under applicable privacy and personal property rights laws requiring further permission for such use.
If any provision of these terms and conditions shall be held unenforceable, such provision shall be struck and the remainder shall remain enforceable.
Jurisdiction And Applicable Law
These Booking Conditions and any agreement to which they apply are governed in all respects by the laws of the state of Michigan without regard to conflicts of law principles. . Any claims shall be brought in a court of competent jurisdiction in Michigan. You agree that you will only bring claims against FRVC in your individual capacity and not as a plaintiff or class member in a purported class action or representative proceeding. FRVC shall not in any case be liable for other than compensatory damages, and your payment of a deposit on a tour means that you agree to these conditions of sale and expressly waive any right to punitive damages. All guest claims must be submitted in writing and received by FRVC no later than thirty(30) days after the completion of the FRVC tour. Guest claims not submitted and received within this time shall be deemed waived and barred.
